Booking Settings

The Booking Settings section allows you to customize how reservations are handled across your venue. From defining player limits and cancellation policies to configuring timeouts and bay selection logic, this section helps you control the full booking experience—for both customers and staff. 

What You Can Configure 

1. Player Limits 

Maximum Players in Total: The total number of players allowed per booking. 

Maximum Players per Bay: Controls how many players are assigned to a single bay. 

2. Booking Duration 

Minimum Booking Duration: The shortest time customers are allowed to book. 

Maximum Booking Duration: The maximum allowed session length. 

3. Customer Cancellation Rules 

Allow or disallow cancellations by customers 

Cancellation Grace Period: Define how far in advance cancellations must occur (e.g., 1 day before). 

4. Advanced Booking Controls 

Advanced Booking Days: Set how many days ahead customers can make bookings. 

Booking Timeouts: Automatically cancel incomplete bookings after a set time. 

5. No-Show and Refund Settings 

No Show: Specify whether no-shows are allowed and whether refunds apply. 

Past Hour Grace Period: Add a buffer for late arrivals before the system marks them as a no-show. 

6. Bay Selection Algorithm 

Choose how bays are automatically assigned during booking: 

Sequential: Bay 1, then 2, then 3... 

Random: Assign bays randomly 

Reverse: Start from the highest-numbered bay and move backward

7. Booking Notices 

Add messages that will appear to customers during the booking process (e.g., venue-specific policies or tips). 

Bonus Feature: Hourly Pricing 

Click Set Hourly Prices to define simulator or bay-specific rates, including peak hours and dynamic pricing rules. 

Where to Find It 

To access these settings: 

  • Go to Settings in the left navigation 
  • Select Booking Settings 
  • Switch between tabs: Administrators, Employees, and Customers (Website) to set different rules for each user type 

 Tip: 

You can use different settings for internal users (like staff) versus customers booking through your website. This gives you flexibility without sacrificing control.
